Privacy Policy

1. Information We Collect

TrialScreen collects information necessary to provide clinical trial pre-screening services. This includes contact information you provide (name, email, phone number, organization), protocol documents you upload, and participant data processed through our screening platform. All participant health information is treated as Protected Health Information (PHI) under HIPAA.

2. How We Use Your Information

We use collected information solely to operate the TrialScreen platform: conducting pre-screening conversations, scoring participant eligibility, generating analytics, and facilitating CTMS exports. We do not sell, rent, or share personal information or PHI with third parties for marketing purposes.

3. Data Security

All data is encrypted at rest (AES-256) and in transit (TLS 1.3). Access to PHI is logged in an immutable audit trail. Our infrastructure enforces tenant-level isolation, ensuring no cross-organization data access. Role-based access controls restrict data visibility to authorized personnel only.

4. HIPAA Compliance

TrialScreen operates as a Business Associate under HIPAA. We execute Business Associate Agreements (BAAs) with all customers. All telephony services are provided through BAA-covered infrastructure. PHI access events are logged separately from standard application logs.

5. Data Retention

Customer data is retained for the duration of the service agreement plus any period required by applicable regulations. Upon termination, customers may request data export and deletion. Audit logs are retained for a minimum of 6 years, up to 10 years, consistent with applicable regulatory requirements.
